How Microsoft 365 Copilot answers from SharePoint documents

Copilot connects large language models to your organisation's data through Microsoft Graph. According to Microsoft, it combines your documents, emails, calendar, chats and meetings with your working context, such as the meeting you're in or recent email threads. SharePoint permissions matter: Microsoft advises using the permission models in Microsoft 365 services such as SharePoint so the right people see the right content.

That breadth is Copilot's strength. It works inside apps like Word, Excel, PowerPoint, Outlook and Teams, and it can draw on everything a person can open. The trade-off is focus: when you ask a policy question, the answer may draw on email threads, chats or the web as well as the approved document.

How Docutrix differs

Docutrix does one job. You choose which SharePoint libraries, Google Drive folders or uploaded files it indexes, and it answers in seconds from those documents only, citing the exact document and page so anyone can check the answer in two clicks. If the answer isn't in your documents, it says so.

Security and data handling

Both products say they don't train AI models on your content. Microsoft states that prompts, responses and Graph data aren't used to train foundation LLMs, and that admins can manage Copilot interaction data with Content search and Microsoft Purview.

Docutrix isolates each organisation's data, encrypts it at rest (AES-256) and in transit (TLS 1.2+), and never uses documents, queries or answers to train AI models. Enterprise customers have data residency options, on-premise or dedicated hosting, or a private LLM in their own VPC. See security.

Microsoft states that prompts, responses and data accessed through Microsoft Graph aren't used to train foundation LLMs. Docutrix doesn't use your documents, queries or answers to train, fine-tune or improve AI models on any plan, and that is a contractual commitment.
